What a WhatsApp AI sales agent does
A WhatsApp AI sales agent is software connected to your WhatsApp Business number that replies to customers with an AI model. A rule-based chatbot follows fixed buttons and keywords. An AI agent reads the message in the customer’s own words, looks up the answer in your content and writes a reply, the way a trained sales executive would.
In sales, the useful jobs are answering product and pricing questions at any hour, asking qualifying questions, booking a call or demo, sending the right link, and passing ready buyers to your team with the context already written down.
Suggest mode and auto mode
Most teams should not switch an AI agent to fully automatic on day one. A staged approach lets you see its answers before customers do.
- In WebinarRun, the mode is set per WhatsApp number.
- "Respond manually" lets a person take over a chat at any time; "Hand back to AI" returns it.
| Mode | What happens | When to use it |
|---|---|---|
| Off | Your team replies manually. | Sensitive numbers or while you build the knowledge base. |
| Suggest | The AI drafts a reply; a person approves, edits or discards it. | First weeks, new products, high-value deals. |
| Auto | The AI replies on its own and hands over when stuck. | Once suggested replies are approved without edits most of the time. |
Build the knowledge base first
An agent is only as good as what it knows. Give it your pricing, course or product details, FAQs, refund policy, delivery or batch dates, and objection handling. Write answers the way you want them said. Add live data where it matters, such as checking an order or a booking, so the AI does not guess.
Then watch for gaps. WebinarRun’s AI Brain lists questions the AI could not answer, so you can add the missing content. The same knowledge base is used in webinars, AI calls and WhatsApp, which keeps answers consistent across channels.
Human takeover and escalation
WhatsApp’s Business Messaging Policy allows automation inside the 24-hour window, but requires prompt, clear and direct paths to a human. Design for this from the start.
- Escalate when the customer asks for a person, is upset, or asks something outside the knowledge base.
- Escalate high-intent moments such as "I want to pay" or a large order.
- Route escalations to the right agent or team, and show them as "Needs a human" in the inbox.
- Make sure the person who takes over sees the full chat, lead score and history.
Guardrails: discounts, promises and tone
The biggest risk with an AI sales agent is a confident wrong answer: a discount you never approved, a delivery date you cannot meet, or a claim your product does not support. Set guardrails in writing and test them.
- A maximum discount the AI may offer on its own; anything larger goes to a person.
- A list of topics the AI must not answer, such as medical, legal or investment advice.
- Tone and language instructions, including when to switch to Hindi or another language.
- A rule to say "I will check with the team" instead of guessing.
- Respect STOP and do-not-contact requests immediately across every channel.
Official API vs unofficial tools
Some tools automate WhatsApp by controlling a normal WhatsApp or WhatsApp Business app through a browser or modified client. They are cheap and quick to set up, but WhatsApp’s terms prohibit unauthorised automated or bulk messaging, and WhatsApp has temporarily or permanently banned accounts that use unofficial apps. If your sales number is banned, you lose the number and the chat history your leads know.
The official WhatsApp Business Platform requires opt-in from the people you message, approved templates outside the 24-hour window, and Meta’s per-message fees. In return your number is stable, you can run many agents on one number, and you can use AI as long as it serves your business. Since January 2026 Meta has barred general-purpose AI assistants from the Business Platform, while AI used for a business’s own support and sales remains allowed.
Measuring results
Track a few numbers weekly and compare them with the period before the agent went live.
- First response time, and replies sent outside office hours.
- Share of chats resolved by the AI without a person.
- Escalation rate and the reasons for it.
- Qualified leads, booked calls and sales attributed to WhatsApp chats.
- Edits made to suggested replies (a falling rate means the AI is ready for more autonomy).
- Messages per conversation, which now drives Meta service message cost.
- Opt-outs and complaints.
