Getting started

Add team members and set their roles

WebinarRun lets you add colleagues to your account and control what each one can see and do with roles. Teams decide who receives transferred chats and calls.

Updated

Before you start

  • You are the account owner or have a role that can manage users
  • A free seat on your plan: 1 on the trial, 3 on Starter, 10 on Growth, 30 on Scale (besides the owner)
  1. Add a user

Open User Management from the top menu and click Add New User. Enter their Full Name, Email Address and a starting Password (at least 8 characters).

  2. Pick a role

Choose a Role from the list and click Add User. Each user has exactly one role, and the role decides everything they can do. Share the password with them securely so they can sign in.

  3. Create a custom role if you need one

In the Roles section on the same page, click New role. Give it a Name, use Start from to copy an existing role, then tick the permissions you want. System roles are locked, but you can Duplicate them and edit the copy.

  4. Change or remove a user

In the users table, click Role next to a person, pick the New Role and click Change Role. The change applies straight away. The delete button removes the user.

  5. Group agents into teams

Further down User Management, click New team under Teams. Add a Team name, pick the Agents in this team, and choose what happens When a chat is transferred to this team: Anyone, Round-robin or Sticky. Click Save.

Good to know

  • In the Agents table you can set where each person Receives calls on: the browser, their own phone, or both.
  • Calls transferred to a team ring every agent in it; the first to accept takes the call. The routing choice applies to chats.
