Webinars & AI Sessions

Create an automated webinar

WebinarRun lets you run a pre-recorded video as a scheduled, simulated-live webinar. You set the details, the schedule and the video in one Create event window.

Updated

Before you start

  • Permission to create events
  • A free active-webinar slot on your plan (1 on the trial and Starter, 5 on Growth, 15 on Scale)
  • Your video as a Vimeo link, or a file up to 2 GB and 3 hours long
  1. Open the Create event window

Go to My Events, stay on the Events tab and click Create Event. At the top of the window, make sure Webinar is selected (not AI Session).

  2. Fill in the General tab

Enter the Event name, Organization name, Organization domain, Contact name and Contact email. Under Redirect after the event, add the page attendees should land on when the webinar is over.

  3. Choose how attendees ask questions

Still on General, pick one of the four Q&A cards: Email Q&A, Live Chat, AI Chat + Host or Voice AI + Host. For the last three, also pick a Q&A Session Duration from 5 to 60 minutes.

  4. Set the schedule

On the Schedule tab, pick a Schedule type: Specific Dates, Daily or Weekly. Choose the Time zone, add one or more times, and set Display slots (1 to 10) to control how many upcoming times the registration page shows.

  5. Offer a just-in-time slot (optional)

For Daily or Weekly schedules, tick Also offer the next 15-minute slot. Visitors can then join a session that starts within the next 15 minutes instead of waiting for the next fixed time.

  6. Add the video and click Create Event

On the Video tab, choose Paste a Vimeo link or Upload a video. You can also add timed Poll, Offer, Download, Question and Notes cards on the timeline. Click Create Event to save.

Good to know

  • Uploads can be up to 2 GB and 3 hours. The file is sent after the event is created, so keep the window open until it finishes.
  • Attendees always join at the live position. They cannot pause, skip or rewatch later.
  • Confirmation and reminder messages go out by email and WhatsApp automatically; see the templates article to send them from your own number.
